Coronavirus – what we are doing to keep our staff and visitors safe and our data centre and services operational

If you are looking to gain access to our data centre or offices you need to read the following:

The following notification was posted on 9th December’21

Further to the government’s announcement of the introduction of Plan’B restrictions the following procedures continue for the present:

• All services are fully operational
• We must be notified of all visitors before they arrive on site
• We must be notified of all deliveries in advance
• Access to the main data centre floor is per the guidance in the following paragraphs. Access to the first floor office and meeting rooms is restricted until further notice
• Notifications for access during normal hours (09:00 to 17:30 M-F) should be by email to support@datanet.co.uk and Out Of Hours (OOH) access should be arranged using the usual OOH procedure with our security company
• All visitors are required to wear a face mask whilst in close proximity to Datanet staff or other visitors
• All visitors are required to follow enhanced hygiene guidelines whilst on site and please use the hand sanitiser at reception upon arrival, there is also a supply of gloves and masks at reception, please do avail yourself of these
• Along with the usual Datanet sign-in screen we continue to use the NHS Test and Trace QR poster, please ensure you have the NHS app on your device and scan in with this too
• We encourage you to make use of Datanet remote hands as much as possible

Further to the government’s announcement of the relaxation and indeed removal of Covid-19 rules and as both Datanet staff and more customers return to the data centre the following procedures continue for the present:

• All services are fully operational
• We must be notified of all visitors before they arrive on site
• We must be notified of all deliveries in advance
• Access to the main data centre floor is per the guidance in the following paragraphs. Access to the first floor office and meeting rooms is restricted until further notice

Further to the government’s announcement of the re-instated lockdown commencing on the 4th January, Datanet will continue with the “Stay at Home” working model and the following procedures continue for the present:

All services are fully operational at Datanet.co.uk however, the following changes to normal operations continue:
• Datanet staff are visiting site on a ‘as needs only’ basis whilst our security company continue random 24×7 patrols
• We must be notified of all visitors before they arrive on site
• We must be notified of all deliveries in advance
• We encourage you to make use of Datanet remote hands where possible
• Access to the main data centre floor is per the guidance in the following paragraphs. Access to the first floor office and meeting rooms is curtailed until further notice:

All visitors that need to attend our site will be required to confirm that they:
• Do not have cold or flu-like symptoms
• Have had no known contact with someone in the last ten days who has been diagnosed with coronavirus
• We request that all visitors follow enhanced hygiene and social distancing guidelines whilst on site and please use the hand sanitiser at reception upon arrival
• Along with the sanitiser there is a supply of gloves and masks at reception, please do avail yourself of these
• Along with the usual Datanet sign in we are now using the NHS Test and Trace QR poster, please ensure you have the NHS app on your device and scan in with this too

Datanet staff have been assigned to teams attending site only as necessary on a weekly rota pattern to limit the risk of infection with other staff working remotely.

All services are fully operational at Datanet.co.uk however, the following changes to normal operations continue:
• Datanet staff are visiting site on a ‘as needs only’ basis whilst our security company continue random 24×7 patrols
• We must be notified of all visitors before they arrive on site

• We encourage you to make use of Datanet remote hands where possible
• Access to the main data centre floor is per the guidance further below. Access to meeting rooms and the office is restricted and subject to the following rules:

• By prior arrangement, we can facilitate customers in groups of up to 5 only to use our main meeting room with the following rules:
• Only 5 chairs for up to 5 people are available in the main meeting room
• The 5 chairs are arranged to provide maximum social distancing, please do not rearrange the chairs
• Hand sanitiser is provided and we encourage you to sanitise and wash your hands frequently
• Masks and gloves are also available from reception
• First floor access is restricted to the main meeting room (CS1) and the washrooms only, no access to the kitchen, general office or small meeting room. (You may of course visit your rack in the data centre)
• During the period of the re-instated lockdown commencing 5th November we discourage use of our first floor meeting rooms, we hope this is just for the month but we are guided by government recommendations

All services are fully operational at Datanet.co.uk however, following last night’s government lockdown and the firm recommendation to “Stay at Home”, the following changes to normal operations are in force:
• Datanet staff are visiting site on a ‘as needs only’ basis whilst our security company continue random 24×7 patrols
• We must be notified of all visitors before they arrive on site
• We must be notified of all deliveries in advance
• Data centre access will be limited to critical activities only
• We encourage you to make use of Datanet remote hands where possible
• Access will be restricted to the main data centre floor with no access to meeting rooms or the office

Whilst access to the data centre is under our control and only subject to the above conditions, other services and in particular circuits and connectivity are subject to the carriers conditions (e.g. BT): BT Openreach say that engineer visits to customer premises will not be provided until after 1st June 2020, the earliest date appointments become available again. This includes shift orders and EFM/GEA and applies to Openreach and those who use their infrastructure, including BT Wholesale, TalkTalk, Vodafone and Virgin orders. • Visitor access will be restricted to the main data centre floor with access to meeting rooms and the office limited to Datanet Staff

The following notification was posted on 13th March’20

To maintain a safe working environment in our Fleet AHF data centre we are promoting the following

1. Datanet staff are exercising a heightened hygiene program with a focus on areas and surfaces in communal use
2. Paper towel dispensers and anti-bacterial surface cleaning agents are available in several locations
3. Sanitizer hand spray will be distributed as soon as it becomes re-available
4. We encourage you to postpone all non-essential visits to the data centre
5. We discourage you from visiting with more staff or visitors than is absolutely necessary
6. We can do more remote hands for you during normal hours to save you coming in
7. You should not visit the data centre if you are feeling unwell or showing symptoms
8. We will be postponing or delaying infrastructure equipment maintenance which is deemed safe to postpone
9. Please wash your hands regularly whilst on site (inc. preparing food)
10. We will sign in on the visitor screen for you
11. We will clean your visitor passes before and after handling
12. We will follow government and public health guidelines in all areas
13. These guidelines may change as the situation develops
